Privacy Notice
This notice describes how Broadway National Group ("we," "us") collects, uses, and protects information submitted through the vendor onboarding portal at vendors.broadwaynational.com.
Information we collect
When you complete the vendor onboarding form, we collect:
- Business information: legal company name, DBA, business address, entity type, years in business, classifications.
- Tax identification: EIN or SSN (for sole proprietors / single-member LLCs filed as disregarded entities). Tax IDs are stored encrypted; only the last 4 digits are visible in our internal dashboard.
- Contact information: name, title, email, and phone number of the person submitting on behalf of your company.
- Insurance and tax documents: W-9, certificate of insurance, and any diversity certifications you choose to upload.
- Service areas and trades: states you service and trade categories you offer.
- Banking information (when applicable): for ACH payment enrollment.
- Technical information: IP address, browser type, and submission timestamps, used to prevent abuse and troubleshoot issues.
How we use it
Information submitted through this portal is used solely for:
- Evaluating and onboarding your company as a vendor to Broadway National Group;
- Generating contractor agreements and processing them through Adobe Sign;
- Routing your submission to the appropriate internal team in our customer relationship management system (HubSpot);
- Issuing payments and tax reporting once you are an active vendor;
- Preventing fraud, spam, and unauthorized access.
Where it's stored
Submitted data is stored in Microsoft Azure services (Azure Postgres for structured data, Azure Blob Storage for uploaded documents) located in the United States. Vendor records and the deals they create are mirrored to HubSpot, which is used by our sourcing and accounts teams to manage the onboarding workflow.
Retention
We retain vendor submission records for the duration of an active vendor relationship and for a period thereafter consistent with tax, contract, and audit obligations. Uploaded documents (W-9, COI, certifications) are retained alongside the submission record. Incomplete submissions that are abandoned and not resumed are subject to periodic cleanup.
Sharing
We do not sell or rent your information. We share information only with service providers that help us operate the portal and onboard vendors:
- HubSpot — customer relationship management;
- Adobe Sign — contractor agreement signing;
- Microsoft Azure — hosting and storage;
- Cloudflare — bot and abuse prevention (see below).
Bot prevention with Cloudflare Turnstile
This portal uses Cloudflare Turnstile to verify that visitors are not automated bots. In most cases this verification is invisible — no checkbox or challenge is presented. Visitors that Cloudflare scores as higher risk may be asked to complete a brief interactive check. To make this determination, Turnstile collects browser and connection signals (such as User-Agent, IP address, browser fingerprint, and interaction telemetry) and sends them to Cloudflare for scoring. Cloudflare's handling of this data is governed by the Cloudflare Turnstile Privacy Addendum.
Your choices
If you would like to access, correct, or request deletion of information you submitted through this portal, contact us using the address below. We will respond within a reasonable time and consistent with our legal obligations.
